Academic Advisor

Southeast New Mexico College (SENMC)

Required : Bachelor degree in a related field with three (3) years of professional experience directly related to the standard duties as outlined .

Equivalency:  Associate degree in a related field with five (5) years of professional experience directly related to the standard duties as outlined. Any equivalent combination of education, training and/or experience as approved by the Human Resources Department.

FLSA Status: Exempt

Level: Nine (9)

Salary: $50,439.41 - $56,744.59 (DOE)

Hours: Thirty-Eight (38) hour work week; Mon - Thur, 8:00 am - 5:30 pm & Fri, 8:00 am - 12:00 pm

Purpose and Scope:

Provides academic advisement combined with case management strategies to provide more of a comprehensive approach to support student success. The case management approach provides personalized support, proactive outreach, resource referrals, detailed record keeping, and advocates with other departments for student centered policies and procedures. Provides prospective, current, and former students within a specified undergraduate academic department or equivalent unit of a college. Assesses academic level, attends to student inquiries, assists in problem resolution, and advises on program changes, and in the development of academic plans and schedules. Analyzes applications, transfer evaluations, and transcripts for entry and exit from the college. Maintains appropriate records. May establish programs for target recruitment and retention and develop program and marketing materials. This position reports to the Enrollment Manager.

 

Duties and Responsibilities:

  • Regular follow up and monitoring of student progress consistently engages student population utilizing various outreach methods (e.g., in person and online) to cultivate a professional relationship to keep students informed of critical and relevant personal, academic, and professional deadlines, updates, information and events.

  • Actively monitors students’ progress through the program by reviewing and assessing academic records to determine status of progression, completion of degree requirements as well as identifying and referring those students in which additional intervention and guidance may be recommended to reaching academic goals.

  • Assess academic levels, evaluate student records, assist with degree planning, and monitor academic progress. Consults with faculty regarding student progress towards a timely path to graduation.

  • Answer inquiries, review records, determine eligibility for courses and programs. Assist students in the selection and registration of appropriate courses and concentrations in terms of students' stated preferences. Initiate and maintain individual student files updating and evaluating as new information is received.

  • Resolves problems related to curriculum and course prerequisites for designated academic programs referring to catalogues, written course descriptions, and other appropriate sources.

  • Coordinates with other organization units to process admission and graduation requests and to aid in resolution of academic problems.

  • Reviews student files to ensure deadlines are met for completing graduation requirements and other specific program requirements. Reviews transcripts to ensure eligibility for admission to a specific program including evaluation of transfer credits and applicability of academic credit to program requirements.

  • Plans, develops, and coordinates student support programs, special projects, and other initiatives geared to the recruitment and retention of students within the targeted student population or college. Serves as primary liaison with internal and external contacts on all matters relating to the program(s) activities; represent the campus on a local, regional, and/or national basis. Refer students to campus and community resources as appropriate.

  • Consults with faculty regarding student progress towards a timely path to graduation.

  • Oversee and/or coordinate the collection and analysis of program activity data; develop, write, edit, and present statistical and narrative program reports and evaluations.

  • Serve on governance and ad hoc committees.

  • Participate in training and evaluative sessions and recommend methods to improve advisement activities.

  • Ability to gather data, compile information, and prepare reports.

  • Ability to use independent judgment and to manage and impart confidential information.

  • Ability to maintain calendars and schedule appointments.

  • Ability to analyze and solve problems.

  • Ability to analyze course prerequisites, certification, and/or curriculum/graduation requirements.

  • Ability to evaluate student transcripts and/or records.

  • Excellent oral and written communication skills, interpersonal skills (particularly in working with a diverse student population), organizational and management skills are required.

  • Ability to develop knowledge of, respect for, and skills to engage with those of other cultures or backgrounds is required.

  • A working knowledge of various computer applications is required; experience with database applications is preferred.

  • The scope of the position minimally requires work in the evenings and on weekends.

  • Maintains competency and professional currency through self-directed professional reading, developing professional contacts with colleagues, attending professional development courses, and attending training and/or courses required by the supervisor.

  • Supports advisor training and development initiatives of the Academic Advising and Transfer Center.

  • Contributes to the overall success of the Academic Advising and Transfer Center by performing all other duties and responsibilities as assigned.
