Job Summary The Customer Service Representative (CSR) supports assigned accounts and inbound inquiries by delivering high-quality service related to product specifications, order processing, and general account support.
Job Duties & Responsibilities - Responds promptly and professionally to customer inquiries via phone, email, and fax.
- Builds strong, solutions-focused relationships with customers and internal teams
- Manages communication with assigned accounts, handling product inquiries, pricing, and order processing (stock and special orders)
- Provides timely updates on order status, including back-orders, will-calls, and deliveries
- Shares pricing information, distributes dealer price sheets, and promotes current programs in line with company initiatives
- Supports Territory Managers with quote preparation, order entry, and account updates
- Collaborates with branch teams to deliver seamless customer service while independently managing workload to meet goals and deadlines
- Handles overflow calls, routes communications effectively, and ensures accurate message delivery
- Safety-sensitive role requiring constant alertness and adherence to safe work practices
- Maintains proficiency in company systems for administrative tasks such as data entry, messaging, call logs, and workflow updates
- Performs additional duties as assigned, with flexibility to adapt to changing business needs and responsibilities
Qualifications - High school diploma or GED equivalent
- 5+ years of experience in HVAC, customer service, or related functions
- Proficient in MS Office (Word, Excel, PowerPoint, Outlook) and standard office technology, including computers, scanners, phones, and virtual meeting platforms
Physical Demands & Work Environment This full-time position requires approximately 40 hours per week and involves regular physical and sensory activity, including:
- Bending, lifting, and carrying materials weighing up to 50 lbs.
- Prolonged sitting (up to 8 hours), with intermittent standing and walking throughout the shift
- Continuous use of fingers, hands, and arms for computer and office-related tasks
- Frequent use of office equipment such as computers, phones, and scanners (up to 8 hours daily)
- Regular verbal communication via phone and in-person interactions (up to 6 hours daily)
